product · ai-native erp

Our first product: the AI-native ERP.

A complete, AI-native ERP for export manufacturers, built operations-first. It runs the operational core — a customer PO through production, dispatch and export paperwork — with a live AI layer, while the books stay in Tally or SAP.

the boundary

What it runs — and what stays in Tally or SAP.

The ERP runs the daily shop-floor work that finance-first systems handle clumsily, and leaves the books exactly where they belong. A greenfield SMB runs it instead of a heavy SAP rollout, keeping a lighter tool like Tally for finance.

PotionLabs runs this

  • Customer & supplier orders (PO → SO)
  • Procurement, approvals & signed POs
  • Production capture & live OEE
  • Quality & non-conformance registers
  • Dispatch & export documentation
  • The AI layer (extraction, drafting, ops assistant)

Stays in Tally / SAP

  • General ledger, P&L, balance sheet
  • Banking, payments & reconciliation
  • Fixed-asset accounting & depreciation
  • Statutory GST returns & e-invoicing
  • Material-planning of record (MRP)

the modules

Six modules, one AI-native ERP.

Each module runs a slice of the operational core and shares one data model — so work flows from a customer PO to production to dispatch to export paperwork, instead of being re-keyed between disconnected tools.

01

Order Automation

Turn an inbound customer PO — in any format — into a validated sales order in about two minutes of human review.

  • Detects which customer sent the PO and extracts every line item
  • Validates against the quotation, delivery history or price list
  • Emits a structured sales order and feeds a work-order handoff to production
  • Deterministic-first, with AI fallback for unseen formats
02

Procurement

The full chain from indent to a director-signed purchase order, with the approvals and audit a real factory needs.

  • Indent → supplier PO (domestic INR+GST or overseas multi-currency)
  • Five-stage approval chain with append-only event audit
  • Director signature stamped onto the PO PDF before it goes out
  • Atomic PO numbering and five-level supplier de-duplication
03

Production & OEE

Daily shop-floor capture with overall equipment effectiveness computed live, not reconstructed at month-end.

  • Availability × performance × quality computed in the database
  • Two-actor model: supervisor logs the run, QC logs inspection on the same row
  • Department-scoped visibility and an append-only audit trail
  • Work-order autofill from the order register
04

Quality & NCR

A non-conformance register that replaces the inspection team's spreadsheet and keeps a clean audit trail.

  • Automatic per-fiscal-year NCR numbering
  • Status-change audit and idempotent imports
  • Analytics dashboards over complaints and rejects
  • Post-production lot rejection on the roadmap
05

Export Documentation

The paperwork exporters actually live on, handled by a rule engine instead of by hand.

  • RoDTEP, SCOMET, LUT, EPCG and duty-drawback declarations
  • Declaration blocks stamped onto the right export documents
  • Driven by your HSN master and country/scheme rules
  • Dispatch packets bundled and converted to PDF
06

The AI Layer

Bundled into every deployment — the differentiator a generic operations system can't match.

  • Document extraction across heterogeneous customer formats
  • Drafted customer replies and outbound outreach cascades
  • A conversational operations assistant grounded on your own data
  • Human approval on anything that ships product or commits money

the ai layer

AI reads the documents and drafts the busywork. Your people make every call that ships or spends.

Live AI extracts incoming purchase orders in any format, drafts customer replies and outreach, and answers operational questions through a conversational assistant grounded on your own products and history. A batch of orders that took 8 hours of manual entry now takes about 2 minutes of human judgement.

AI proposes

Extraction, drafts and suggestions are generated automatically — across heterogeneous customer formats.

Humans approve

Anything that leaves the company or commits money passes a person. Every time. Two gates on every PO.

Grounded, not generic

The AI draws on your own document formats and history, so it's sharper than a horizontal tool bolted on.

how we engage

Implementation-led, but templatized.

Pricing is scoped per customer and anchored well below the total cost of ownership of a SAP Business One rollout — with the AI layer included.

01

Discovery

A short, structured look at how orders, production and dispatch actually move through your floor today — reading your real documents, not a generic questionnaire.

02

Shaped implementation

The platform is configured to your document formats, approval chains and field names. Implementation-led but templatized — a priced engagement, not an open-ended consulting project.

03

Live, with AI bundled

Your team runs the operational core with the AI layer included from day one, and a conversational assistant as the fallback UI for anything they can't find a screen for.

module questions

How the modules actually work.

01How does PotionLabs turn a purchase order into a sales order?

It reads the incoming PO PDF in any format, detects which customer sent it, extracts every line item, validates the order against the quotation, delivery history or price list, and emits a structured sales order. The operator reviews the result instead of building it, and a batch of orders that used to take about eight hours of manual entry is done in minutes.

02What export documents does PotionLabs handle?

A rule engine produces the declarations exporters live on — RoDTEP, SCOMET, LUT, EPCG and duty-drawback — driven by your HSN master and the relevant country and scheme rules, then stamps them onto the right export documents and bundles dispatch packets.

03Is the AI layer included in every deployment?

Yes. Document extraction, drafted customer replies and outreach, and a conversational operations assistant grounded on your own data are bundled into every deployment. AI proposes; a person approves anything that ships product or commits money.

04How is PotionLabs implemented and priced?

Implementation is led but templatized: a short discovery of how your floor works, a shaped configuration to your documents and approvals, then go-live with the AI layer included. Pricing is scoped per customer and anchored well below the total cost of ownership of a SAP Business One rollout.
